AdvisorEmail’s support of SMTP with TLS provide an extra layer of protection from end to end for companies that send sensitive information over email. POP3 Internet Message Access Protocol version 4 (IMAP4), is an email protocol where the messages are kept on the mail server, including the sent messages, when the client is appropriately configured. IMAP is used by businesses and email users that need to access their mail from multiple locations and/or by multiple users of the same mailbox. The email clients, listed above, that support POP3 also support IMAP. Webmail is based on IMAP. One advantage of IMAP for wireless devices is that it does not require that all messages be downloaded in order to view a specific message or specific messages. The email user can select the specific message or messages to download. In this way, IMAP provides faster access to the desired email. SMTP Simple Mail Transfer Protocol (SMTP) is the standard for email transmissions across the Internet. The transmission can be between two SMTP servers or between a mail client and an SMTP server. SMTP uses port 25 as a standard. AdvisorEmail’s outgoing SMTP servers are additionally configured to send mail using port 2525 or port 587 to overcome the blocking of port 25 by most of the large ISPs. AdvisorEmail’s outgoing SMTP servers require SMTP Authentication, a username and password, to prevent unauthorized use (commonly referred to as "Open Relay") of our servers.
Virus & Spam Protection
Virus & Spam Protection is critical for effective use of email. AdvisorEmail™ Mail Authenticity System (TM)) (MAS) has multiple levels of testing for each incoming mail from the get go of the first sender SMTP connection to the final mail delivery. Over 90% of mail is identified as not authentic and is being rejected or marked as Spam by our servers everyday. Our set of MX Servers are mostly busy to reject over 10 million messages a day. As always, not one solution fits all. AdvisorEmail™ has multiple levels of protection classes from basic to very aggressive that can be set per domain and user. The basic testing provides a very good protection but yet can let some of the Spam go through. Yet, the customer can fine-tune the threshold of how Spam is being marked. The most aggressive testing applies all test conditions. Depending on the class of protection, these are few of the tests:- Check valid recipient address
- Check valid sender address
- Check against multiple RBLs (Real Time Black List)
- Check valid hostname
- Greylisting the message
- Check HELO
Virus Scanning is done automatically without end user control. Spam Filtering and Keyword analysis is done per user against a standard database, domain setting and end user setting. Each message is weight against multiple tests and it is given a weight number. The Administrator and the end user can set the threshold of when the message will be flagged as Spam. Messages that are flagged as Spam can be delivered to end user mailbox with the subject marked as *** SPAM ***. It can be delivered to a special folder (/Spam) or it can be delivered to a special mailbox. The Administrator can control how a message that flagged as Spam should be handled.
 | Secure Email | Email protocols were considered insecure until the introduction of SSL and TLS. The basic protocols (SMTP, POP3 and IMAPv4) did not have the mechanism to encrypt and provide data integrity for mail messages between two connections. Initially, SSL was added to email clients and later its successor, the TLS (SSLv3), was added to mail clients as well as to the SMTP protocol. SMTP with TLS provides encryption and authentication. When both the client and the server (mail client and SMTP server or two SMTP servers) support TLS they both encrypt all data communications (passwords as well as the email message body itself) and guard against eavesdroppers. This is critical for companies that require by law or are concern about transferring sensitive data over the public Internet. At MIAGD, Inc., we realized that these protocols are mandatory to our customers which are in financial and insurance business. All our servers are configured to handle SSL and TLS for mail clients and SMTP servers. SSL / TLSSecure Socket Layer (is the predecessor of TLS was developed by Netscape for transmitting private documents over the Internet. The protocl uses cryptography system that uses private/public keys encryption mechanism. The public is known to everyone and the private is only known to the recipient of the message.TLS is the successor of SSL. Catch-AllA Catch-All is a default mailbox within the domain that will catch all emails that addressed to the domain that it is not an existing alias or mailbox. You can still define specific email address that you want to be bounced as if they did not exist.
Auto Reply / Vacation NoticeEmail communications is effective because your customers and colleague expect your respond in timely manner. Often you maybe out of office, on vacation or you want to notify the sender with a specific message. An Auto Reply can be set to provide your respond for your incoming mail. AdvisorEmail™ advanced Auto Reply feature can be set to an alias or an email account. AdvisorEmail™ allows you to set up a scheduled auto reply to start and end at certain time. In addition, the reply can be set to be once per sender, once a day per sender or always. These advanced Auto Reply features allow you to schedule your vacation notice in advance. You can also be friendlier by sending the reply once to the sender or once a day instead of every time you receive mail from the sender. Auto Replies can also be used to notify the sender that the existing email address is changed or ceased. Mail ForwardMail Forwarding is a method to copy a message that is received on one email account to another email address. The other email address can be alias, an existing mail account or an external email address. It is often used in organization when another employee is required to have a copy of the message that is sent to another employee for the purpose of monitoring email activities. AutoBCC (Incoming / Outgoing)Blind Carbon Copy in email is commonly used when the sender wants to copy a message to another recipient without letting the other know about it. The decision is made by the sender at the time of constructing the list of recipients in the email client software. The Auto BCC was extended to be automatically controlled by the SMTP server according to user setting for incoming and outgoing messages. AdvisorEmail™ allows you to set Auto BCC for incoming and outgoing mail for each of the email accounts. The end user does not have the knowledge that its email messages are BCC and to where they are BCC to. It can be set for incoming only, outgoing only or for both. BCC can be used to copy email messages to another email account to monitor user activities or it can be used for backup the mail in real time. Some even use it for basic email archiving. The BCC address can be any valid email address on the Internet.
